Volunteer (Q&A) Question and Answers

#1 Question: "If I purchase an in-person ticket and volunteer will I get to keep the cash from the price difference of a premium ticket?  

Answer: "No. To anyone who wishes to volunteer, we recommend they purchase an in-person premium ticket as they will receive more value for their volunteering time."

#2 Question: "How many time slots do I need to register for to get a free premium ticket?

Answer: "A minimum of two time slots."

#3 Question: "Can I change the time I am volunteering after I register?"

Answer: "Yes, you do not need to contact us. Simply go to your confirmation email. At the bottom of the email, you will see a link to create a Regfox account. Do so and you will have the ability to change your time slots. Please note that time slots are limited and fewer spots may be available when you go to switch your volunteer times. 

#4 Question: "How will I be refunded after I have completed my volunteer duties?"

Answer: "After the conference, we will issue a refund to your credit card. We ask for 1-2 weeks to issue your refund. You do not need to contact us to ensure this happens. We do not issue cash refunds."

#5 Question: "Who will train me for my volunteer role?"

Answer: "We will have a volunteer captain contact you before the conference. He/she will be responsible for training you during your volunteer shift."

#6 Question: "I am not a current student or alumni of the Encounter School of Ministry. Can I still volunteer?"

Answer: "No. However, please consider enrolling in the school!"

#7 Question: "How is an Encounter School of Ministry alumni defined?

Answer: "Our definition of alumni (in regards to volunteers) is a former student who has completed at least year 1 of the Encounter School of Ministry either online or at one of our physical campuses."

#8 Question: "I have registered to be a volunteer. When will I hear from my volunteer captain?"

Answer: "This will depend on who your volunteer captain is, but you will be contacted at least a week before the conference at a minimum."

#9 Question: "I can no longer volunteer at the Encounter Conference. How do I cancel my volunteer registration?"

Answer: "Please contact us by filling out this form ASAP"

If you’d like to sign up for the same role during two different time slots, please fill out and submit the form twice—once for each time slot.

NB: here is a tentative speaker schedule for the 2025 Encounter Conference to help volunteers discern which spots they wish to sign up for.

  • We’re looking for strong, reliable men to serve as catchers during prayer ministry sessions for our speaker team. This role is essential for ensuring the safety and support of individuals receiving prayer.

    Requirements:

    Ability to lift over 100 pounds

    Good cardiovascular stamina

    Comfortable with fast-paced movement and extended periods of standing

    Catchers may be called upon to serve during two or more prayer ministry sessions. A brief training video will be provided outlining the guidelines and expectations for this role.

    Please note: Volunteering as a catcher qualifies independently for ticket reimbursement—you do not need to volunteer in another role to receive it.

    • These volunteers will be with the Kids Track participants for the duration of all MAIN sessions. Volunteers will still be able to attend breakout sessions as well as conference Mass. If you volunteer as a small group leader for the Kids Track, you will receive a premium ticket for the 2025 Encounter Conference plus free regular admission for a future Encounter event of your choosing.

      Please note: ANY volunteer who is interacting with minors as a small group leader must be VIRTUS trained and consent to undergoing a background check. If you have not completed the free VIRTUS training, you can do so here: https://www.virtusonline.org/virtus/. You will be required to submit a copy of your VIRTUS certificate when signing-up to volunteer for the Kids Track Small Group Leader Role. Encounter Ministries will be in touch with additional information, once you have completed your registration.

    • Help set up drinks and greet young people. Volunteers must be between the ages of 18-30 years old*

    • Begin packing up the partner room, merchandise table, & information table.

    • Pack-up the U-haul truck with our conference materials.

    • Support the Conference offering collection through chair drop preparation and collecting completed offerings during the session
